What has to be on a trade invoice.
If you're registered for VAT, a proper VAT invoice in Ireland or the UK needs:
- the date, and a unique invoice number that follows on from the last one
- your business name and address, and your VAT number
- the customer's name and address
- a description of the work and materials, with quantities and prices
- the date the work was done (if different from the invoice date)
- the VAT rate and VAT amount for each rate, and the total
Not registered for VAT? Leave the VAT line out (set it to 0) and don't show a VAT number. Doing work as a subcontractor for a main contractor in Ireland? That's RCT: no VAT, and special wording. See the RCT guide.
Common VAT rates for trade work: in Ireland, most building and repair work on property is 13.5%, and goods sold on their own are usually 23%; in the UK, the standard rate is 20%. Rates and rules have exceptions, so check with Revenue, HMRC or your accountant.
Or let the invoice write itself.
In Atsus, the hours and materials go on the job while you work, so the invoice is ready when you finish: numbered, with your logo and VAT, sent by link, with reminders that chase it for you.
